Acquiring and accounting for grants is a frequent concern for local governments in the Netherlands, and the city of Delft is no exception. Until 2017, each department in the Delft town hall handled this issue independently. However, in 2017, the Subsidy Service Point (SSP) was introduced – a department that can efficiently handle all subsidy-related matters thanks to a centralized system. One of the employees at the SSP is Susanna Kimah, who attended training in preparation for this role.
During her studies, Kimah heard about the Grant Tracking System (SVS). “That had everything we were looking for. At the SSP, we monitor and register incoming grants. Initially, this was done in Excel, per department, but that was too cumbersome and didn’t work well. In that regard, the SVS is a much better alternative. It provides an overview and much more insight into the various grants. We apply for these not only for ourselves, but also for institutions and similar organizations within our community. The SVS, she explains, provides real-time insight into the grant process, offers information about outcomes, and makes accountability clear.”
Susanna Kimah then clarifies that the SVS is fully tailored to the needs of the city of Delft. “That process was particularly efficient and smooth”, she indicates. “Especially in the initial phase, there was a lot of communication, both via email and phone. Our questions and comments were promptly addressed, allowing the system to quickly align with our expectations. A good example is the processing of documents, which are often quite extensive for us. The SVS has been customized to accommodate this.”
“Meanwhile,” she says, “a second upgrade of the SVS has taken place, and Delft is now using SVS 3.0. We were closely involved in that upgrade together with the city of Eindhoven. We made recommendations that were incorporated into the new version. After the updated version was completed, we tested it and then activated it here in Delft. By thoroughly understanding our needs, SubsidieVolgSysteem.nl has made the system even more efficient and user-friendly.”
